Executive Assistant (Beauty Industry)

Currently being led by the founders and the next generation of the family, the Group spans ~1500 employees in 5 geographic locations around the world, focused on omnichannel distribution and fulfillment for the beauty category. Multiple subsidiaries with a distinct leadership, business direction, and separate financial structure.

Summary:

We are seeking a motivated, highly organized Executive Assistant (Beauty Industry) to support senior management at our Ronkonkoma headquarters. This individual will play a key role in managing day-to-day operations, research, and coordination activities across departments. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced environment within the beauty, cosmetics, or e-commerce space.

Beauty industry knowledge is required, and familiarity with e-commerce and digital platforms is a plus. This role involves handling executive calendars, preparing reports, conducting research, and assisting with communication between internal teams and external partners. The candidate must also be comfortable using LinkedIn and other research tools to identify business opportunities, contacts, and trends.

This is an in-person position based in Ronkonkoma, NY.

Working hours are 9:00 AM - 6:00 PM, Monday-Friday.

Key Responsibilities:

  • Manage executive calendars, schedule meetings, and organize travel arrangements (domestic and international)
  • Handle daily communication, email management, and follow-ups on behalf of senior management
  • Conduct research on companies, brands, products, and industry trends within the beauty and e-commerce sectors
  • Use LinkedIn and other professional tools to research potential partners, contacts, and opportunities
  • Prepare reports, presentations, meeting notes, and data summaries for management
  • Coordinate communication between global teams and support ongoing international projects
  • Assist in preparing product and market analysis within the beauty industry
  • Support administrative tasks such as document management, scheduling, and record keeping
  • Help plan and coordinate events, trade shows, and executive travel itineraries
  • Maintain confidentiality and professionalism at all times

Qualifications:

  • 2+ years of experience as an Executive Assistant, Administrative Assistant, or similar role (preferred in the beauty, retail, or e-commerce industry)
  • Beauty industry knowledge is required
  • Familiarity with e-commerce operations or digital platforms is a plus
  • Excellent research skills using LinkedIn, Google, and other online tools
  • Strong communication, writing, and interpersonal skills
  • Advanced knowledge of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong attention to detail, organization, and follow-through
  • Comfortable coordinating international communication and travel
  • Associate’s or Bachelor’s degree preferred
