Logistic's Coordinator (Mandarin Speaking)

General Description:

We are seeking a highly organized and detail-oriented and mandarin speaking Logistics Operations Coordinator to join our team. This role is responsible for overseeing day-to-day warehouse operations, including product and order management, financial coordination, and client communication. The ideal candidate will act as the key liaison between clients, the warehouse team, and the platform operations team to ensure smooth logistics flow and timely issue resolution.

This is an in-person position based in Melville, NY.

Working hours are 9:00 AM - 6:00 PM, Monday - Friday.

Key Responsibilities:

  • Product Management

    • Verify the actual arrival of goods according to the client’s email and organize a goods sorting report; confirm with the client before processing the inbound and shelving of products.

    • Handle outbound shipments based on client requests for warehouse returns or shipments.

    • Manage product shelf life and handle good vs. defective product categorization.

    • Conduct regular inventory checks.

    • Cooperate with the platform’s remote inspection process.

    • Address client inquiries related to products.

  • Order Management

    • Process inbound orders promptly according to deadlines.

    • Handle warehouse appointments on time.

    • Fulfill outbound orders on time based on deadlines to avoid delays.

    • Investigate delayed outbound shipments.

    • Reposition and process packages that were canceled during the packing process.

    • Address customs feedback on over-shipments or missing items.

    • Respond to exceptions in orders promptly and communicate with customer service reps.

  • Financial Management

    • Submit value-added service fees monthly based on provided services.

    • Reconcile and verify monthly bills and review billing details.

  • Ticket/Work Order Management

    • Respond to system tickets promptly.

    • For tickets requiring packing videos, communicate and coordinate with warehouse management.

    • For system errors, open tickets to IT for assistance.

  • Client Management

    • Timely updates to client-facing SOPs (such as inbound, B2B outbound, transfer, API returns).

    • Maintain up-to-date contact info for clients (email, DingTalk); promptly report any operational issues.

  • Platform Coordination

    • Cooperate with capacity planning based on order volume estimates from platform reps before major promotional events.

    • Send daily reports to platform reps promptly.

    • Assist in addressing issues raised by platform reps.

Qualifications:

  • Bilingual Proficiency: Fluent in both English and Mandarin (spoken and written).

  • Logistics Knowledge: Understanding of warehouse operations, inventory control, and order fulfillment preferred.

  • Communication Skills: Professional client interaction and coordination.

  • Problem-Solving: Able to address shipping issues, order discrepancies, and system errors effectively.

  • Detail-Oriented: Accurate in managing reports, order processing, and financial records.

  • Time Management: Capable of prioritizing tasks to meet tight deadlines.

Education & Experience:

  • High school diploma or equivalent required; bachelor’s degree in a related field is preferred

  • Experience in logistics or supply chain is a plus.
